UKG System Administrator

 

Position Summary:

The UKG System Administrator plays a pivotal role in managing, maintaining, and optimizing the hospital's UKG Time, Attendance, and Scheduling platform. This position ensures system accuracy, reliability, and compliance with hospital policies and union agreements. As an expert administrator, you will provide hands-on training, develop best practices, and leverage data analytics to enhance staffing efficiency, reduce payroll errors, and support strategies that minimize organizational overtime.

The UKG System Administrator acts as a liaison between the scheduling office, IT department, Human Resources, and other key stakeholders. This role involves ongoing system optimization through constant evaluation of configuration gaps and evolving needs to ensure the system meets the hospital's scheduling requirements effectively. Additionally, you will be responsible for maintaining system health by reviewing and managing rules for shift rotation, union agreements, and department-specific guidelines. You will also track scheduling exceptions and suggest improvements, provide training to support scheduler development, and implement strategies to reduce overtime through proactive alerting systems.

 

Responsibilities:

 

System Administration & Optimization:

  • Configure, maintain, and optimize UKG Time and Attendance modules in alignment with hospital policies and union agreements.
  • Monitor system performance, troubleshoot issues, and collaborate with the vendor and CMH IT team for timely resolution.
  • Conduct regular audits to ensure system efficiency and minimize payroll errors.

Training & End-User Support:

 

  • Develop and deliver ongoing training programs for staff, managers, and scheduling personnel on using the UKG system effectively.
  • Create and maintain user guides, job aids, and knowledge resources to support end-users.
  • Provide one-on-one and group support to resolve user issues and ensure compliance with scheduling processes.
  • Serve as a subject matter expert (SME) in workforce management best practices.

Reporting & Auditing:

 

  • Perform regular audits of schedules, pay rules, and timecard data for accuracy and error reduction.
  • Use system KPIs to provide actionable insights and recommendations for improved workforce utilization.
  • Educate and support teams on leveraging system data views with the Decision Support Team.
  • Identify scheduling practices contributing to overtime and develop strategies for improvement.
  • Regularly audit master schedules to ensure they meet unit-specific scheduling needs.
  • Audit scheduling practices against hospital standards, union agreements, and unit-based guidelines.
  • Ensure accurate application of shift differentials, premium pay, and specific pay codes.

 

Skills & Qualifications:

 

  • 3+ years of experience in hospital scheduling and payroll management.
  • Bachelor's degree in Business Administration, Human Resources, Information Systems, or a related field is preferred.
  • Proven experience with the UKG platform as an administrator or analyst role.
  • Advanced knowledge of scheduling rules, pay codes, and workforce management processes.
  • Strong ability to train and support diverse end-user groups (clinical and non-clinical).
  • Excellent data analysis, auditing, and reporting skills.
  • Exceptional problem solving and troubleshooting capabilities.
  • Proven skill in managing competing priorities and leading process improvements.
  • Superior communication and collaboration abilities across HR, Payroll, Scheduling, and IT teams.
