Job Description

Salary Range: $40.96 - $48.75

 

Position Summary:           

 

The Hospital is seeking to hire a Project Coordinator who is a decisive, self-motivated team player, supporting the implementation of the Oracle Health Information System (HIS) in partnership with the Waterloo Regional Health Network (WRHN). Reporting to the Project Director, HIS, the Project Coordinator (PC) is an integral part of the HIS project team and will assist Cambridge Memorial Hospital (CMH) in modernizing its systems as part of the commitment to Reimagine Community Health. This is an on-site role, and the primary location will be at CMH.

 

 

 Duties will include, but are not limited to:

  • Liaise and work with the project staff, providing support, contribution to the project, reports, and data collection.
  • Organizing the meetings, calendar, and emails for the HIS project team.
  • Creating, organizing, updating, and maintaining project documentation, including reports, plans, sheets, and notes.
  • Assist the Project Director with planning coordination, tracking various aspects of reporting, and other project activities as requested.
  • Coordinating the receipt and distribution of information and correspondence.
  • Help prepare and summarize reports and prepare background materials by compiling and analyzing information.
  • Preparation of records such as agenda, minutes, and resolutions for departmental and Committee meetings.
  • Organize all presentation materials (slides, handouts, and reports) in advance
  • Assist with proofreading, formatting, and refining presentation content, ensuring it aligns with the speaker's message and objectives.
  • Communicate all relevant information and documents about the presentations to attendees and other stakeholders.
  • Manage any follow-up tasks, such as distributing presentation materials, collecting feedback, or scheduling future presentations.
  • Maintain records of presentations and meetings.
  • Serving as a point of contact for team members, stakeholders, and vendors, ensuring clear and consistent communication
  • In collaboration with the Project Director, maintain and track project timelines, deadlines, and monitor progress to ensure projects stay on schedule.
  • Process purchase requisitions for project and tracks expenses.
  • Manage the ordering and tracking of supplies and materials.
  • Tracking and completing the travel expenses and other relevant expenses.
  • Supporting the project team on tracking, communicating and distributing the training materials for the end-users.
  • Coordinates room bookings and room set-ups for meetings and trainings.

QUALIFICATIONS:

  • Completion of post-secondary education in the related field, if no formal education then must have proven relevant industry experience.
  • 3-5 years of experience supporting Project Directors/Managers in the delivery of large size projects, preferably within the hospital settings.
  • Excellent time management and ability to prioritize multiple tasks and adjust workload accordingly to meet ever-changing deadlines.
  • Superior skills in Word, Excel, Power Point, Microsoft Project and Report Writing.
  • A proactive approach to problem solving and building positive relationships within the hospital staff and management.
  • Strong meeting planning and excellent organizational skills are required.
  • Exceptional communication skills (both written and verbal).
  • Demonstrate a high level of personal and professional integrity and initiative.
  • Exhibit a great attitude, work ethic, adoption, and decision-making ability.
  • Strong team approach, commitment to quality care, and the ability to facilitate change, collaborate and strive to achieve results.
  • Regular attendance is required.
