The Diagnostic Imaging (DI) Program supports a high volume of diverse adult and pediatric patients and families, providing service within Radiology, CT, MRI, Nuclear Medicine, Ultrasound, Mammography, OBSP and BMD. This department operates 24 hours per day, seven days per week.

 

The successful candidate will be responsible for clerical functions necessary for the smooth operation of the DI department; primarily for OBSP including greeting patients, answering telephones, patient documentation, filing and retrieval, patient registration, order entry, use of the Meditech electronic health record systems, use of PACS, processing requisitions and data entry and reception duties, performing these duties in other areas of Diagnostic Imaging, as required.

Duties & Responsibilities

  • Performs all scheduling, cancelling, rebooking, and deferring of Ontario Breast Screening Program (OBSP) appointments including new and existing patients.
  • Scheduling patients according to Cancer Care Ontario Breast Screening Program (CCO OBSP) guidelines
  • Performs all data entry into the ICMS system including normal and abnormal results as well as physician designate for unattached patients
  • Contact and book all patients that are due for OBSP screenings and increase clinic volumes.
  • Monitors completeness of all OBSP clinical data gathering, and clinical reporting and addresses noted gaps or anomalies with applicable staff.
  • Handle all inquiries via phone, fax and e-referral from both patients and referring physicians and engage appropriate clinic staff to provide information or resolve issues as necessary
  • Performs distribution of all normal and abnormal OBSP clinical reports to referring physicians.
  • Follow up with other centres and referring physician offices to track and document OBSP patient data that require further assessment.
  • Performs image tracking including chart transfers and tracking incoming and outgoing imaging
  • Performs administration and data entry in ICMS associated with OBSP assessments including follow-up tracking reports, report collection, follow-up letters, and case closures
  • Completes monthly statistics and financial reports in Excel
  • DI requisition management, including but not limited to Ocean Portal E-referral requisition system processing, patient screening, scheduling, interaction with radiologists and technologists to determine booking protocols and prioritization
  • Ensuring accuracy and completeness of patient and procedure information entered. Work with applicable staff to remedy any issues encountered.
  • Verbal and written communication with patients, radiologists, technologists, referring physicians and their office personnel and other CMH departments
  • Act a first level escalation point for patient and referring physician questions and issues.
  • Use good judgement when working on patient files to determine if information is missing or corrections need to be made and works with applicable staff to remedy the issue.
  • Participates in updating staff of updated OBSP policies, procedures, and protocol for department.
  • Other clerical and reception duties as required

 

Skills and Qualifications:

  • Community College Diploma in Medical Office Administration required
  • A minimum of 2 years’ current experience with Diagnostic Imaging booking including CCO OBSP using ICMS is required.  
  • A minimum of 2 years’ current experience with the Radiology module of Meditech and CWS module is required
  • Proficient knowledge of WTIS Priority codes is required
  • Current experience with Ocean Portal e-referral processes required
  • Current experience with PACS access and retrieval of images is required
  • Current experience with PocketHealth Provider to Provider sharing of images is required
  • Proven knowledge and skill in using computer software including MS Windows, Outlook and Word is required
  • Excellent interpersonal, verbal and written communication, organization and time management skills are required
  • Demonstrated knowledge of Medical Terminology related to Diagnostic Imaging is required
  • Experience with alphanumeric filing systems is required
  • Exemplary telephone manner is mandatory
  • Demonstrated ability to plan, organize and prioritize in an environment with competing priorities is essential
  • Demonstrated ability to work effectively in a team is required
  • Demonstrated ability and commitment to providing outstanding customer focused patient care is required
  • Demonstrated ability to liaison with the Regional CCO OBSP Coordinators is required
  • Demonstrated ability to attend work on a regular basis is required
